Privacy Policy

This Privacy Policy applies to all mobile applications and digital products published by Matrix Digital Media LLC ("we," "us," or "our"), including HiveHelper and any future apps. By using our apps, you agree to the practices described below.

1. Information We Collect

Information You Provide

Our apps allow you to enter and store content such as logs, notes, observations, and other data you create within the app. This information is stored locally on your device by default.

Data Submitted to AI Features

Certain features in our apps use AI services to generate personalized guidance or analysis. When you use these features, relevant inspection data — including queen status, brood pattern, mite counts, treatment history, feeding, user-written notes, and optional ZIP code for seasonal context — is transmitted to OpenAI's API (OpenAI, L.L.C.) via a server-side intermediary (Firebase Cloud Function) to generate a response. This transmission occurs only when you actively use the feature.

No email address, name, or account identifiers are sent to OpenAI — only hive observation data. Per OpenAI's API data usage policy, data submitted through the API is not used to train their models.

You are not required to use AI features. If you prefer not to transmit your data to an AI service, simply do not use those features.

Photos

If you attach photos within our apps, those photos are stored locally on your device by default. In certain features, photos may be submitted to a third-party AI image analysis service provider for automated processing. This only occurs when you explicitly use that feature and is subject to the provider's data handling practices.

Usage and Analytics Data

We collect anonymous usage data to understand how our apps are used and to improve the experience. This includes information such as which features are used, how often, and general interaction patterns. This data does not include the content of your personal entries and is not linked to your identity.

Analytics are powered by Firebase Analytics (Google LLC). For more information on how Firebase handles data, visit firebase.google.com/support/privacy .

Purchase Information

If you make an in-app purchase, the transaction is processed entirely by Apple through the App Store. We receive confirmation of your purchase status (e.g., active subscription) but do not receive your payment details, credit card information, or billing address.

Crash Reporting

Crash diagnostics are collected via Firebase Crashlytics (Google LLC) to identify and fix technical issues. This data includes crash logs, stack traces, device model, and OS version. It is not linked to your identity. Subject to Google's Privacy Policy.

Device Information

We may collect general device information such as operating system version and device type for the purpose of crash reporting and compatibility improvements.

2. How We Use Your Information

  • To provide and maintain app functionality
  • To generate AI-powered guidance or analysis when you request it
  • To understand usage patterns and improve our products
  • To verify purchase and subscription status
  • To diagnose crashes and technical issues

We do not sell your information to third parties. We do not use your data for targeted advertising.

3. Data Storage and Transmission

Data you enter into our apps is stored locally on your device using SwiftData, which serves as the primary data store and source of truth. In addition, your data is backed up to the cloud using Firebase Firestore and Firebase Storage (Google LLC). Cloud backup occurs in the background and is scoped to your authenticated user account.

Firebase Firestore stores your apiaries, hives, inspections, and related data. Firebase Storage stores inspection photos. All cloud data is associated with your authenticated account and is not accessible to other users.

AI guidance requests are processed via a Firebase Cloud Function (server-side) that forwards relevant inspection data to OpenAI's API. The Cloud Function does not store the data — it acts as a pass-through intermediary. These transmissions are described further in Section 1 above and Section 4 below.

4. Third-Party Service Providers

Our apps may integrate with third-party service providers in the following categories. We select providers whose data practices are appropriate for the data being processed.

  • App Store payment processing — In-app purchases and subscriptions are processed by Apple. Subject to Apple's Privacy Policy.
  • Analytics — Anonymous usage analytics are collected via Firebase Analytics (Google LLC). Subject to Google's Privacy Policy.
  • AI language model servicesOpenAI (OpenAI, L.L.C.) — When you use an AI guidance feature, relevant inspection data is transmitted to OpenAI's API via a Firebase Cloud Function to generate your result. Subject to OpenAI's Privacy Policy.
  • AI image analysis services — When you use a photo analysis feature, selected photos are transmitted to a third-party AI image analysis provider for processing.
  • Crash reportingFirebase Crashlytics (Google LLC) — Crash diagnostics including crash logs, stack traces, device model, and OS version are collected to identify and fix technical issues. This data is not linked to your identity. Subject to Google's Privacy Policy.

We may update or change our service providers over time. If we make material changes to the providers or categories listed above, we will update this policy accordingly.

5. International Data Transfers

We are based in the United States. Some of our third-party service providers, including analytics and AI service providers, may process data outside of your country of residence, including in the United States. By using our apps, you acknowledge that your data may be transferred to and processed in countries that may have different data protection laws than your own.

Where required, our service providers implement appropriate safeguards for international data transfers, such as standard contractual clauses approved by applicable regulatory authorities.

6. User Accounts

Account creation is required to use our apps. You can sign in using Sign in with Apple, Google Sign-In, or email and password. Through the sign-in provider, we collect your email address and display name to create and manage your account.

All user data — including apiaries, hives, inspections, and photos — is scoped to your authenticated account and is not accessible to other users.

Google Sign-In is provided by Google LLC and is subject to Google's Privacy Policy.

7. Data Retention and Deletion

Locally stored data remains on your device until you delete it within the app or uninstall the app. Uninstalling the app removes all locally stored data associated with it.

Cloud backup data stored in Firebase Firestore and Firebase Storage is retained until you delete your account using the "Delete Account" feature in the app's Settings. Account deletion permanently removes all Firestore data, all Firebase Storage files (including photos), and your Firebase Auth account.

Anonymous analytics data is retained per Firebase Analytics default retention (14 months).

Data sent to OpenAI's API for guidance generation is not stored by us or by OpenAI per their API data usage policy.

8. Children's Privacy

Our apps are not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information through one of our apps, please contact us and we will take steps to address it.

9. Your Rights

You retain control over your data. You can delete data within the app, and you can delete your entire account — including all cloud backup data — using the "Delete Account" feature in Settings.

If you are located in the European Economic Area (EEA), United Kingdom, or another jurisdiction with applicable data protection rights, you may have the right to access, correct, or request deletion of personal data we or our service providers hold about you. To exercise these rights or ask questions about data processing, contact us at the address below.

California Residents (CCPA)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA):

  • Right to know what personal information is collected, used, and shared
  • Right to request deletion of your personal information
  • Right to opt-out of the sale of personal information — we do not sell your personal information
  • Right to non-discrimination for exercising your CCPA rights

We do not use your data for targeted advertising or sell your data to third parties.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of our apps after changes are posted constitutes acceptance of the updated policy.
